Sharing with your trust
Overview
Sharing works in both directions. Your trust can share posts, pages and alerts with its schools (Trust content on your website). Your school can also offer its own posts, events and vacancies to the trust's website.
On the trust's website, each item you offer shows your school's name and crest, and links back to the original page on your website. The trust either publishes it straight away or reviews it first. That depends on the trust's settings.
What you offer stays yours. When you edit it, the trust's copy changes too. When you untick it, unpublish it, or it expires, the trust's copy comes down. The trust usually picks up a change within an hour. A trust admin can pick it up sooner with Check schools now.
Offer a post or event to your trust
- Open the post in Posts.
- In the Offer to your trust box, tick Offer this post to our trust website.
- If it is about an event, tick This is an event. Then fill in when it starts, when it ends (optional), and where it is.
- Update the post.
The post must be published, and it must not be password protected. The trust shows an event's date and place above the post, and takes its copy down once the event has ended. If the event has no end time, its copy comes down at the end of that day.
To take it off the trust's website, untick the box and update the post. Unpublishing or binning the post also takes it down. A post with a Smart Post Expiry date comes down from the trust's website when it expires on yours.
Posts your trust shared with you cannot be offered back to it, and the box does not appear on them.
Your vacancies on the trust's website
Every vacancy that Staff Vacancies is showing on your website is offered to your trust's Jobs across the trust page. A vacancy is offered from its opening date and withdrawn after its closing date.
The trust's page links to your vacancy's own page. Applicants read the full advert and apply there. Your page keeps its Google Jobs listing, and the trust's page does not copy it, so Google still shows the job as yours.
To stop offering vacancies:
- Go to Settings → Writing.
- Next to Trust website, untick Offer our open vacancies to our trust's "Jobs across the trust" page.
- Save Changes.
For trusts: review what your schools offer
Everything your schools offer arrives in Trust Inbox in your website's menu. The menu shows a count when items are waiting. A trust admin needs to open Trust Hub once, so that your website knows which schools are yours.
- Waiting: choose Publish or Decline. A vacancy has List on jobs page instead of Publish.
- Published: what is live. Take down removes it, and it then appears under Declined, where you can publish it again.
- Declined: items you said no to. The school's later edits are kept here, but they are never published unless you choose Publish.
- Withdrawn: items the school stopped offering. They have been unticked, unpublished or expired, or the school has left the trust. If the school offers one again, it goes back where it was: published, or waiting.
- Schools: how reading each school is going. See Check your schools are being read.
- Activity: who did what and when, for every offer. This includes what happened automatically.
A published post goes into your From our schools category, tagged with the school's name. Search engines are pointed at the school's original page. You cannot edit a school's post on your website, because the school's next edit would replace your changes. Ask the school to change it, or take it down.
For trusts: check your schools are being read
Your website reads each school's offers on a schedule. Trust Inbox → Schools shows how that is going. Editors and administrators can both see it. Opening it does not read anyone, so it is quick to check.
For each school it shows:
- Last read: when your website last read the school. Point at it to see the exact time.
- Result: Read, or Could not read with the reason. It also says how many reads in a row have failed, and when the school was last read fine.
- Items: how many posts, events and vacancies the school offered at its last read.
- Next read: about when the school is next read.
Above the table, it says when the next run is due. Each run reads up to 5 schools, so a large trust takes several runs to get round them all. Check schools now reads them sooner.
When a school cannot be read, nothing it has already shared is changed or taken down. The usual reasons are:
- There is no sharing feed at this address: the school's website may still be on SmartPress 3, or it may have moved to a new address. Schools on SmartPress 3 cannot offer anything until their website moves to the current release.
- The website answered, but not with a sharing feed: the address often redirects to a home page on another website, for example after a change of domain.
- Took too long to answer or had an error: usually temporary. The next read normally works.
If a school keeps failing, contact Realsmart support with the school's name and the reason shown.
When the school list is old
Your website learns which schools are yours from smartlogin whenever a trust admin opens Trust Hub. If nobody opens Trust Hub for 30 days, your website stops reading your schools, in case the trust has changed. Nothing new arrives and nothing is updated, but nothing is taken down either.
From 3 weeks, every Trust Inbox tab shows a warning with the list's age. To fix it, a trust admin opens Trust Hub. The warning has an Open Trust Hub link for trust admins. The list refreshes straight away, and reading starts again on the next run.
For trusts: publish without review
Administrators can choose what is published without review, under Trust Inbox → Settings.
- Posts, Events and Vacancies can each be set to Publish without review, Hold for review or Do not take. By default, vacancies are published without review, and posts and events are held for review.
- Always publish these school categories: a comma-separated list of category names, as
your schools name them (for example
Sport, Trust news). Posts and events in those categories skip review, even when posts are held for review. - Category for school posts: where published posts go on your website.
A change applies to new offers. It does not change anything already published or declined.
For trusts: add a jobs page
- Go to Pages → Add New and call the page, for example, Jobs across the trust.
- Add a Shortcode block containing
[trust_jobs], then Publish.
The page lists your trust's own open vacancies and every school vacancy you have accepted. The jobs with the soonest closing dates come first. Visitors can filter by school and by role (Teaching, Leadership, Support staff), and search by job title or place. The role comes from the job title. For example, a Teaching Assistant is listed as support staff, and a Deputy Headteacher as leadership.
Add title="Join our team" to give the list its own heading: [trust_jobs title="Join our team"].
