Release early accounts during the freeze
When your provisioning window closes, sync freezes and MIS changes stop reaching your users — see The provisioning window and the freeze. That is usually what you want, but it also holds back the two groups of people you most need ready for day one: staff you have just recruited and pupils who are about to join.
Release early accounts is the deliberate exception. It lets you create accounts for those people — and only those people — while everything else stays frozen, so you can hand out logins before term starts.
When the card appears, and where
The Release early accounts card is on two pages under Data → Incoming learners and mentors: Learners and Mentors. It's the same card on both, so it can never tell you different things depending on where you opened it. It appears whenever your school is inside its freeze: the window has closed and sync has not resumed yet. You need View MIS (Wonde) data to open those pages, and Run syncs & provisioning to build a preview, release or send anyone. See Reduced admin access.
The End of year page no longer holds the card itself. While you're frozen it shows a short card that says new staff and pupils are being held and tells you to create their accounts from Data → Incoming learners and mentors, with a Go to incoming mentors button.
The sidebar shows Learners only when Import pre-admission students is switched on, and Mentors only when Import pending mentors is on. If both are off, the Incoming learners and mentors group isn't in the sidebar at all — use Go to incoming mentors on the End of year page to reach the card.
Outside the freeze the card is hidden, and it should be — while the window is open your normal sync is already importing these people every night, so there is nothing to release.
No cloud sync is switched on
A live cloud sync is not required. If Google or Microsoft Entra sync is on and live for your school, released accounts are sent there too. If neither is — or your Google sync is still in preview mode, which does not count, because nothing it produces reaches your tenant — release still works and the accounts are created in Realsmart only. There is nowhere to send them, so no Send them to… button appears, and the card says so rather than implying they went somewhere. Turning a cloud sync on later gives them their Google or Microsoft account then.
Their usernames are still permanent from the moment they are created, so this is not a rehearsal.
Preview first — a preview creates nobody
Nothing is ever released automatically. The flow is always preview, review, then confirm.
Choose Build preview. Realsmart reads your MIS and shows exactly who would be given an account: their name, whether they are staff or an applicant, their year group, and the groups they would be added to. It takes a minute or two and the page updates on its own ("Checking your MIS. … Nothing is being created."). A badge on the card says how old the preview is. If your school has pre-admission switched on, Realsmart also refreshes the preview itself every night, so there is often one waiting already.
The list shows the first few people with Show all … underneath, so a big intake does not bury the rest of the page. Nobody is left out of it — open it before you release and check the whole list, especially if the count is larger than you expected.
A preview creates nobody. It changes nothing in Realsmart, sends nothing to Google or Entra, and can be rebuilt as often as you like with Rebuild preview. Only the confirmation dialog behind the Release button creates anything, and that step spells out what it is about to do before you agree to it.
A preview goes out of date. If it is more than 24 hours old the card says "This preview is more than 24 hours old, so it may no longer match your MIS. Build a fresh one before releasing." — your MIS may have moved on since.
Who is released, and who is not
Released:
- New members of staff, including people who have not started yet. A teacher recruited in June who starts in September is exactly the case this feature exists for. (September starters need the Pending mentors setting switched on — see "Import pending mentors" is switched off.)
- Pre-admission pupils you have chosen. A pre-admission pupil is only ever created once an admin has chosen them: on Incoming learners, under Choose who to import, tick the pupils who are genuinely joining and select Approve for import. See Import pre-admission students. Release only creates the pupils you chose, and a pupil your MIS has marked withdrawn, rejected or declined is not released even if you chose them. Pupils whose application is only "Applied" or "Offered" and who nobody chose are never given an account.
- Pupils already on your live roll with a future admission date. A pupil who is on the roll but doesn't start until September can be released as an early starter, as long as Import pre-admission students is switched on for your school. (This is not offered inside the annual pre-admission pause below.)
Not released — these still wait for resume:
- A pupil who joins mid-summer as an ordinary in-year admission. Someone added straight onto your live roll in July with an admission date that has already passed (or none at all) is not an early starter, and their year group is in the middle of rolling over, so releasing them risks giving them a permanent username built on out-of-date information. They are created by the normal sync when your school resumes. This is a deliberate limit, not a fault.
- Leavers, class changes, timetable rebuilds, and any update to somebody who already has an account. The freeze holds all of it until resume.
- Anyone who already has a Realsmart account. Early release only ever creates new accounts; it never changes an existing one.
Which groups a released account gets
This is the part that most often surprises people, so it is worth reading twice.
A released account gets its role groups only:
- students go into the students group;
- staff go into the staff group, and into teaching staff or non-teaching staff.
Nothing else. No class groups, no year groups, no registration or house groups, no subject groups. And no group memberships are created in Google or Entra — those wait until your school resumes and the full sync reconciles everything.
So a released teacher can sign in, appears in your directory, and lands in the right place in Google — but their classes are not there yet. That is expected. Group memberships arrive with everything else on your resume date; see Resuming sync for the new year.
Usernames are permanent
A released pupil's username already carries the school year they are joining in — the release does not give them this year's number and correct it later.
That matters because a username cannot be changed by any later sync. It is fixed the moment the account is created, in Realsmart and in every platform it reaches. If one turns out to be wrong, the only way to correct it is to rename the user by hand in the admin area — no sync tidies it up for you.
For the same reason, a pupil whose admission date is missing from your MIS, has already passed, or is more than a year away is held back rather than released. Realsmart will not guess a joining year it cannot confirm. Those pupils are listed on the card with the reason, and they are created normally when sync resumes.
When the only problem is a missing date. If every pupil who is held has no admission date at all, a tick box appears: Also create the N pupil(s) with no admission date. Tick it if you've chosen their year group yourself and you are happy with the username shown for each on the list. Realsmart remembers the tick for this freeze only, and it clears itself when your window rolls forward. The list doesn't change until you Rebuild preview, at which point those pupils move from held to ready. The tick doesn't override a date that is in the past, too far ahead, or that disagrees with the year the username would carry; those need your MIS put right first. You need Run syncs & provisioning to tick it.
One more check happens at the moment of release: if the joining year the username would carry does not agree with the pupil's admission date in your MIS, that pupil is held too. It is the signal that the year group they are in now setting is wrong for your school — see Pre-admission students. Because this one is only checked as the accounts are created, those pupils appear in the result afterwards rather than in the preview, so a release can create fewer people than the preview offered.
Because the joining year comes from your pre-admission settings, check Import pre-admission students before you release — in particular that the year group they are in now is the year these pupils are finishing elsewhere, not the year they are joining.
Steps
Step 1: Open the card
In the sidebar, open Data → Incoming learners and mentors and choose Mentors or Learners. If your school is frozen, the Release early accounts card is at the top of the page. (From the End of year page, Go to incoming mentors takes you to the Mentors page.) You need to be working in your school, not in MAT mode.
Step 2: Build the preview
Choose Build preview. Wait for it to finish — nothing is created while it runs.
Step 3: Review who would be created
Check the list. Look at the badges (for example "3 staff" and "12 accepted applicants", plus "N staff held" or "N applicants held" if some are being held back), the names, and every explanation the card gives you for people it is holding back. If the numbers are far larger than you expect, stop: a big mid-summer number usually means your MIS has been re-keyed, not that that many people are starting.
Step 4: Release
Choose Release N accounts. The confirmation, Release these accounts now? ("This creates real accounts and cannot be undone."), states how many staff and pupils will be created, where they go, that they get role groups only, that their usernames are permanent, and that nothing else the freeze is holding is released. If the number is above 50 it adds a warning that this is well above what a school would normally hand out early, which usually means the MIS has been re-keyed. Read it, then choose Create N accounts.
Step 5: Check they reached your platforms
The card then shows what was created ("N accounts were created … — X staff and Y pre-admission students"), with each person's username and role groups, and sends them on to Google or Entra. When you released from this page, the sending starts by itself once the accounts exist. If it hasn't been sent yet there is a Send them to… button on the card (for example Send them to Google Workspace and Microsoft Entra). Progress appears in sync status and logs.
The table has a last column saying whether each person's Google or Entra account exists yet, so you can see who has arrived rather than only that a send was asked for. A tick means Realsmart's record of your tenant already has an account for them. Once everyone is ticked the card says "All N accounts are already in …, so there is nothing left to send." and the Send them to… button goes, because there is nothing left to send — with a quiet Send them anyway next to it for the case where you can see somebody is genuinely missing. Nobody is created twice by sending again.
This column is Realsmart's own record of your tenant, kept up to date by sync. It is not a live check of Google or Entra at the moment you look. Accounts usually arrive within a few minutes; if some haven't appeared after that the card points you to sync status and logs.
If your school has no cloud sync live, there is nowhere to send them, no button and no column — the accounts exist in Realsmart, and they get their Google or Microsoft account whenever you turn one on.
Reading the receipt after a release
The card keeps a receipt of what the release actually did, and it is worth reading rather than closing. Alongside the table of accounts that were created — again folded to the first few, with Show all … for the rest — it can show two more panels.
People this release held back. The headline reads "N person was held by this release" or "N people were held by this release". The release re-runs its safety checks at the moment it runs, not just when you built the preview — so someone the preview offered can still be held. Anyone held this way is listed with the reason, and no account was created for them. Reasons that affect a whole group (pre-admission being switched off, the annual blackout, a username policy the release cannot read) are shown once with everyone they affect named underneath, rather than repeated per person. Reasons that are specific to one applicant — an unusable year group, an admission date that disagrees with the year the username would claim — are listed individually, because the detail is what tells you how to fix it.
People who were skipped. This is a different thing from being held, and each reason says so in its own words, including whether resuming sync settles it. Some do settle on their own. Others never will and need someone to act: a record that matches a previously deleted account, a record with no MIS identifier of the kind your school matches on, or a record that could not be given a username. Read the sentence rather than assuming the next sync will tidy it up.
Why a preview can come back empty
An empty preview is usually correct rather than broken. Whatever the reason, the card says it in plain words rather than showing you an empty table — and most of them are settings you can change yourself. The commonest by far is the pending-employees one below.
The two you are most likely to see at a well-configured school are simply that there is nobody new:
- Everyone in your MIS already has an account. The card names the number it checked. Nothing is wrong; there is just nobody to create.
- No pupils have been chosen. The card may word this as "Your MIS returned no accepted pre-admission applicants". In practice it means no pupil you've chosen on Incoming learners is waiting, so the list has no applicants in it. Nothing is released that you haven't chosen.
You may also see that a record could not be matched safely — no MIS identifier on it, or an identifier setting Realsmart does not recognise — or that someone was released by an earlier run, or matches an account that was deleted. Each of those is named on the card with its own count. The rest of this section covers the settings-related reasons.
Pre-admission is switched off
If Import pre-admission students is off for your school, no applicants are looked at at all — so a preview can only ever contain staff. New students arrive with the normal sync when you resume. Turn it on in School settings → Sync if you want applicants included; see Import pre-admission students.
No year group is set for pre-admission pupils
Pre-admission is on, but the year group they are in now has not been set. Your MIS gives applicants no year group of their own, and that number forms part of their username — so pre-admission pupils are skipped rather than given a guessed year that could never be corrected. Set the year group on the pre-admission settings and build the preview again.
You are inside the annual pre-admission pause
Pre-admission sync pauses for a few weeks each autumn — roughly 28 August to 30 September — because at the very start of term your MIS can briefly list the same pupil as both an applicant and a live pupil, which would create the account twice. While that pause is on, no pupils are offered for early release. It ends on its own; your staff half of the preview is unaffected.
"Import pending mentors" is switched off
This is by far the most common empty preview, and the card links you straight to the fix.
Staff who have not started yet — your September starters — are only imported when Import pending mentors (future-starting staff) is on for your school. It is off by default, which is why a frozen school in July so often sees an empty staff list even though it has just recruited.
The card still counts and names those people so you can see they exist, and its Open pending mentors setting button links straight to the setting. Switching it on changes your normal nightly import too, not just this release, which is why it lives in School settings → Sync (on the Pending mentors card) and not on the End of year page. Turn it on there, come back, build the preview again, and they appear.
Your school is not frozen
Early release only applies inside the freeze. If your window is open, new staff and chosen pupils are already being imported by the normal nightly sync, so there is nothing held back to release. This is not a message you will see on the card — it is why the card is not there at all.
Troubleshooting
- "I can't find Release early accounts on the End of year page" — it moved. It's on Data → Incoming learners and mentors (Learners and Mentors), and only while your school is frozen.
- "Someone in the preview was created but has no username" — occasionally an account is created and no username can be built for it (for example a missing name field in your MIS). Those people are not released and are not sent to Google or Entra; they are picked up normally at resume.
- "There is no button to release this preview" — the card replaces it with a sentence saying why: the preview is more than 24 hours old, there is nobody new in it ("There is nothing to release from this preview."), or a check on your school's academic-year dates is holding the whole release. Fix what it reports and build a fresh preview. If a release was refused, the card says "The last release did not run: …" with the reason.
- "A released student has no classes in Google Classroom" — expected. Only role groups are created at release; classes arrive at resume (see which groups a released account gets).
- "An accepted applicant isn't in the preview" — pupils are only created once somebody has chosen them. Open Incoming learners and choose them first. See Import pre-admission students.
- "The pupils with no admission date are still held" — you need to tick Also create the N pupil(s) with no admission date and then Rebuild preview. The tick only appears when a missing date is the only reason pupils are held.
