Delete or restore a user
Delete user and Restore user are account actions on the Details tab of a user's edit page. To delete several people at once, use Bulk actions on the Users list.
Before you start
- You must be an admin for the user's school, with the Manage users & groups permission. Deleting also needs Delete users & groups — without it there is no Delete user button. Ask a full admin, or have your access changed; see Reduced admin access.
- The page opens inside one school, so switch to the user's school first if you're in MAT overview.
- If the person owns a Google Classroom class, reassign it first or the class is left without an owner.
Steps
Step 1: Open the user
Find the person on the Users page and select their name (see Edit a user). The edit page opens on the Details tab; the account actions are below the profile fields.
Step 2: Delete or restore them
- Delete user — select it and confirm Delete this user? They will be marked deleted and re-synced. They're marked Deleted and re-synced (deprovisioned from connected platforms), and you're taken back to the Users list with User deleted. They can't sign in to Realsmart from then on. While cloud sync is paused, their Google or Microsoft account stays active until sync resumes (see Cloud sync is paused).
- Restore user — visible only when the user is deleted (it replaces Delete user). Select it and confirm Restore this user? to make them active again. Only possible until the evening clean-up — at 20:00 on weekdays deleted users are removed for good. See What happens to a leaver's account?.
Step 3: After a restore, check their username
Restore brings them back with the same username. If someone else now has that username, nothing changes and you see Restored username is already taken.
Troubleshooting
- "There's no Delete user button" — either the user is already deleted (Restore user shows instead), or your admin access doesn't include Delete users & groups. Ask a full admin, or have your access changed — see Reduced admin access.
- "I deleted a user by mistake" — select Restore user on the Details tab. Do it straight away: deleted users are removed permanently at 20:00 on weekdays.
- "Restored username is already taken" — someone else now has that username. Rename or delete the other account, then restore.
