Account creation history

Account creation history is a read-only list of accounts Realsmart has created in your cloud platforms. Use it to answer "was this person's account created, and when?" for accounts created some time ago. You can't change anything on it.

What's in it, and what isn't

  • Each row is one account that was created successfully: the date and time, the person (name, with their email or username underneath), the platform and the account type.
  • It lists Google Workspace accounts. At the moment Realsmart records Google account creations only. The Integration filter also lists Microsoft, Apple and Active Directory, but accounts made there aren't recorded in this list yet. For those, use Logs or the person's Logs tab — see Check sync status and read logs.
  • It doesn't show the most recent accounts. The detailed log entries are archived once they are more than four weeks old, at weekend housekeeping, and a short summary of each creation is kept here when that happens. So an account created in the last few weeks appears here later, not straight away. For recent accounts, check Logs or the person's Logs tab.
  • The date shown is when the account was created, not when it was archived.
  • The history is kept even after the person's record has been purged, so it can answer questions about people who've left.

Before you start

  • You must be an admin with the Manage users & groups permission.
  • The list covers the school you're working in. In MAT overview it covers every school you can access, with a School column.

Steps

Step 1: Open the page

  • In a school: in the left sidebar, open Users (under Users & Groups) and select Creation history.
  • In MAT overview: in the left sidebar, under Users & Groups, select Creation history.

The page is headed Account creation history, with the subtitle "Every account ever created in this school" (or "…across your authorised schools" in MAT overview).

Step 2: Find an account

  • Type in the search box (Name, username or email…) to find a person by name, username or email address.
  • Select Filters and tick one or more platforms under Integration: Google, Microsoft, Apple or Active Directory. Select Clear all to remove them.
  • Select a column heading to sort. The list starts newest first. You can sort by Created, Account, School (MAT overview) and Integration.

The count at the top right shows how many events match. The list shows 50 to a page.

What the columns mean

Column What it shows
Created The date and time the account was created
Account The person's name, with their email address or username underneath. If the person has since been purged, only the saved name and address are shown
School MAT overview only: the school the account belongs to
Integration The platform: Google, Microsoft, Apple or Active Directory
Account type What kind of account it is, such as Member (a person)

Troubleshooting

  • "No account-creation history yet — Account-creation events appear here as accounts are provisioned." — nothing has been archived for this school yet. Newer accounts show in Logs first.
  • "No events match the current filters." — clear the search or the Integration filter.
  • "I created someone today and they're not here." — expected. Recent creations are listed here only after the sync's log entries are archived (more than four weeks old). To check a recent account, open the person's Logs tab, or use Recent activity. To see why an account hasn't been created, see User not syncing.
  • "I can't see Creation history in the sidebar." — you need the Manage users & groups permission. Learners and other staff don't see it.
