A teacher is missing from a Google Classroom (or no classroom was created for them)
Typical reports:
- "Not all of my classes are showing in Google Classroom."
- A co-teacher, cover teacher or head of department can't see a class.
- No Google Classroom was created for a class at all.
- A class shows an unknown or deleted owner in Google Classroom.
Each Google Classroom belongs to a Realsmart group, and the sync keeps it in step with that group: the group's staff are its teachers and the Main teacher is its owner. So almost every answer is on the group's own page.
Start here: the group's Classroom tab
Select Groups in the left sidebar, search for the class by its name in your MIS (for example 10A/Da1), select it, then open the Classroom tab.
- The top of the tab shows the classroom's Classroom status and owner, or says the group has no classroom yet, or that the sync skips it and why.
- Classroom ownership shows the group's Main Teacher and whether their account is active, and says so if Google lists someone else as the owner.
- Who is in the classroom lists everyone Google has on the classroom and flags anyone missing, with the reason where it can tell. Select Refresh from Google for the live picture.
To check one teacher across all their classes at once, open them in Users and look at their Memberships tab — each group shows whether they're actually on its classroom. See Classroom badges on a user's group memberships.
Then work through the causes below, most likely first.
Cause 1 — They aren't in the group
Check: the group's Members tab. Is the teacher listed?
A teacher is only on a classroom if they're in its group. The MIS only puts staff into a class group when they're recorded against that class, so cover and supply staff, and anyone sharing the class informally, usually aren't.
Fix: add them to the group — type their name in Add a member or group… and select them. They're put on the classroom as a teacher within a few minutes, and the hand-added membership is locked so the MIS won't remove it. See Add a teacher to a Google Classroom, which also covers adding one teacher to many classes. (If Sync this group to Google is switched off on the group's Details tab, saving doesn't push the group to Google, so the teacher arrives with the nightly Classroom sync instead.)
For cover that should end by itself, use Cover access, where your school has it.
They must be a staff account (mentor or admin). A learner added to the group joins as a student, not a teacher.
Cause 2 — Your MIS only sends the main teacher
Check: School settings → Sync, in MIS & provisioning: is Add all mentor roles as cohort members ticked?
- Off — only the class's main teacher in the MIS is put into each MIS class group. A second teacher on a shared class isn't in the group, so isn't in the classroom.
- On — any teacher recorded on the class joins its group, along with heads of department or faculty, second in department, curricular managers, course co-ordinators, supervisors and support staff (such as teaching assistants) recorded against it. Cover and supply roles still aren't included.
Fix: tick it and select Save sync, then wait for the next MIS import to fill the class groups. Or, for a few classes, add the teacher by hand (Cause 1). See School sync settings.
Cause 3 — The classroom is still Provisioned, or someone else owns it
Check: Classroom status at the top of the Classroom tab, and the Main Teacher under Classroom ownership.
Google creates every new classroom as Provisioned, and students can't see it until its owner accepts it in Google Classroom. The owner is the group's Main teacher, which normally comes from the MIS. When the MIS names a different teacher from the one who takes the class, nobody accepts it and the class seems to be missing.
Fix: either
- select Make active beside the status and confirm — the classroom becomes Active and the owner no longer needs to accept it (needs sync settings permission); or
- make the right teacher the owner: on the Details tab, choose them as Main teacher, tick Lock main teacher so the MIS doesn't change it back, and select Save changes. They must already be in the group.
To stop new classrooms waiting for an owner at all, turn on Create classrooms as active in Google Classroom settings. See Make a classroom active.
Cause 4 — No Google account, or the account is suspended
Check: in Who is in the classroom, the missing reason may say No Google account is recorded for this user yet. On the Members tab, a Suspended label next to their name means their account is switched off.
The sync can only add a working Google account, and it only treats Active or Protected staff as teachers.
Fix: reactivate a suspended account, or get their Google account created — see User not syncing. If the person has a second account that isn't suspended, add that one to the group instead.
Cause 5 — The class has no classroom, or the sync skips it
Check: the top of the Classroom tab. It says either This group has no classroom yet (the sync will create one), or The sync skips this group's classroom until this is fixed, with the reason. The group's Logs tab shows the same reason, as no Google Classroom: ….
The sync skips a group's classroom when:
- it has no staff who are Active or Protected — the reason reads no teacher assigned — a Google Classroom needs at least 1 (add a mentor to this group);
- it has more than 50 staff — N teachers assigned — a Google Classroom allows at most 50;
- it has 1,000 or more people in total — N members (T teachers + L learners) — a Google Classroom allows fewer than 1000;
- the group is Suspended or Deleted, or its name starts with
tof_(Teachers of groups never get a classroom); - Provision Google Classroom is off for the school — the tab says Google Classroom is switched off.
It also can't create a classroom when none of the group's staff has a working Google account, because the classroom must have an owner.
Fix: add a teacher (Cause 1), split a group that's too big, set the group to Active or Protected on its Details tab, or turn Classroom on in Google Classroom settings. Once the group qualifies, its next push or the nightly Classroom sync creates the classroom. See Create a Google Classroom for any group.
If the class clearly exists in Google but the tab says the group has no classroom, the link has been lost — see Find and link a group's Google Classroom before the sync makes a second, empty one.
Cause 6 — The classroom is Declined or Archived
Check: Classroom status reads Declined or Archived.
The sync doesn't change a declined or archived classroom at all: nobody is added or removed, however the group changes.
Fix:
- Archived — select Make active beside the status.
- Declined — Google won't let a declined classroom go straight to active, so Make active isn't offered. On the Groups page, select Filters, set Classroom state to Declined, tick the classes, and choose Set classroom state → Provisioned in the action bar. Then use Make active on each class's Classroom tab, or ask the owner to accept it. See Bulk actions on groups.
Then select Save changes on the group's Details tab to send it to Google straight away, so the missing teachers are added — or wait for the nightly Classroom sync.
A Suspended classroom was suspended by Google, and only Google can lift that.
Cause 7 — It's the summer freeze
Check: the Classroom tab says Cloud changes for this school are held (the provisioning window has closed).
Outside your school's provisioning window, membership changes are saved in Realsmart but not sent to Google, so new teachers aren't added to classrooms until sync resumes. Make active still works during the freeze.
Fix: wait for the window to reopen, or check the dates are right — see The provisioning window and the freeze. To bring back last year's archived classrooms, see Reactivate last year's classrooms.
Cause 8 — The owner has left: an orphaned classroom
Check: in Google Classroom the owner shows as an unknown or deleted user, or Classroom ownership on the Classroom tab flags the owner's account, with a Review orphaned classrooms button.
When a classroom's owner is suspended or deleted, Google won't let anything change the class — so the sync can't add teachers to it. This is an orphaned classroom.
Fix: select Review orphaned classrooms on the tab, or open Google Workspace → Classroom and select Review on Orphaned classrooms. Classrooms are grouped by owner, with two fixes:
- Reactivate owner — un-suspends that person's whole Google account and restores all their classrooms intact, with their content, students and history.
- Recreate — makes a new classroom for the group. The old classroom's content isn't carried over, so you must type to confirm.
The sync carries out the fix you choose, and the page lists it under Fixes you've asked for until it's done. Orphans are found by a weekly check, so a classroom orphaned in the last few days may not be listed yet.
To prevent it: before a teacher leaves, change the Main teacher on their groups' Details tabs, and choose a Fallback classroom owner in Google Classroom settings — when a member of staff who owns classrooms is suspended or deleted, their classrooms are handed to that person first.
Pupils or teachers who removed themselves
If a pupil or teacher leaves a class in Google Classroom, or someone else removes them there, they're still in the group. So the sync puts them back the next time it checks that classroom's roster: straight away when the group's membership changes, and otherwise on a regular check roughly once a week.
Realsmart can't stop someone leaving a class in Google Classroom; it only puts them back. If someone should stay out, take them out of the group instead.
Still stuck?
Contact Realsmart support with:
- the school, and the group's name exactly as it appears in Realsmart;
- the teacher's username;
- what the Classroom tab shows: the Classroom status, the Course ID in Google, and the teacher's missing reason (a screenshot is ideal);
- anything recent on the group's Logs tab.
