Add a teacher to a Google Classroom — one class or many

There are lots of reasons to put another teacher into a class's Google Classroom: covering a staff absence, sharing a class, or giving a head of department access to every class in their subject.

In Realsmart you don't add people to a classroom directly. Each Google Classroom belongs to a group, and the sync keeps the classroom in step with that group: the group's staff become the classroom's teachers, and its learners become its students. So to add a teacher to a classroom, you add them to the class's group.

Before you start

  • You must be an admin with the Manage users & groups permission for the current school.
  • Provision Google Classroom must be on for your school — see Google Classroom settings.
  • The group must already have a Google Classroom. If you're not sure, open the group's Classroom tab — see Find and link a group's Google Classroom.
  • The person you're adding must be staff (not a learner) with a Google account. A learner added to the group joins the classroom as a student, not a teacher.

Add a teacher to one class

Step 1 — Open the group

Select Groups in the left sidebar, search for the class (for example 10A/En1), and select the group's name to open it.

Step 2 — Open the Members tab

Select the Members tab at the top of the group.

Step 3 — Add the teacher

In the Add a member or group… box at the top of the list, type the teacher's name or username, then select them from the results. They're added straight away and appear in the list with a closed padlock — the membership is locked, so the MIS won't remove it.

That's it — they'll be put into the classroom as a teacher within a few minutes (see How long it takes).

Add a teacher to many classes at once

This example adds a head of department to every active English classroom.

Step 4 — Find the classes

On the Groups page, type part of the class names into the Search box (for example En). Then select Filters and set:

  • Only Google Classrooms — so groups without a classroom drop out, and
  • Classroom state → Active — so only classes in use are included, not archived, declined or never-accepted ones.

Check the list: a short search like En can also match groups such as "Engineering" or "Enrichment". Narrow it with Group name starts with / ends with if you need to. See Filter and search groups.

Step 5 — Select them all

Tick the checkbox in the table header to select the groups on this page. If there's more than one page, the banner above the table offers Select all N matching — choose that to include every group the filters match.

Step 6 — Add the teacher to every selected class

In the action bar above the list (it appears once groups are selected), choose Add specific people. Type the teacher's name, username or UPN, tick them (you can tick up to 100 people), then select Add 1 person (it counts the people you've ticked).

Everyone you ticked is added to every selected group, and locked in. Anyone already in a group is skipped, not duplicated. A message confirms how many memberships were added, for example 12 membership(s) added to 12 group(s).

Tip: to add a whole team — say, the English department — tick the classes as above, choose Add members from a group instead, and pick the department's staff group. Everyone in it is added to every selected class. See Bulk actions on groups.

How long it takes

Adding someone to a group sends that group to Google straight away, and the same push updates its classroom. The teacher normally sees the class in their Google Classroom within a few minutes (allow up to 10).

Two things hold it back:

  • The summer freeze. Outside your school's provisioning window, cloud changes are held until sync resumes — the membership is saved now and reaches Google then. See Provisioning window.
  • The classroom's own limits. The sync skips a classroom whose group has more than 50 teachers, or 1,000 or more people in total.

To check, open the group's Classroom tab: it lists everyone Google has on the classroom and flags anyone missing, with the reason where it can tell. If they still haven't appeared, see A teacher is missing from a Google Classroom.

Good to know

  • People added by hand are locked in. The MIS won't list a cover teacher in that class, so a hand-added membership is kept even when the MIS doesn't send it. Remove them yourself when they no longer need access — see Group membership options.
  • Removing them from the group usually doesn't remove them from the classroom. Unless Realsmart has switched on teacher removal for your school, a teacher who leaves the group stays on the classroom (the group's Classroom tab lists them as Extra). To take their access away, remove them in Google Classroom as well.
  • Adding a teacher doesn't make them the owner. The classroom's owner is the group's Main teacher, set on the group's Details tab. To hand a class over permanently, change the main teacher there — see Group membership options.
  • To keep a whole team in step, nest their staff group inside each class group instead of copying people in. Joiners and leavers then follow automatically — see Put a group inside another group.
  • For cover that should end by itself, use Cover access (under Engagement in the sidebar) instead, where your school has it: it makes a colleague a co-teacher for a set time and removes them when the cover ends. See Cover access.
