Classroom parents — guardian provisioning
Classroom parents
Classroom parents (sidebar → Engagement → Classroom parents, next to Smart Parents) shows, for every active learner with at least one guardian contact, every guardian email address and whether it will be provisioned to Google Classroom — not just a count. This is a "glass" page: if a parent's status matters to you, you can see it here without opening Classroom yourself.
This page only appears in the sidebar once parent import is enabled for your school. If you don't see it under Engagement, parent import isn't turned on for your school yet — contact Realsmart support if you believe it should be.
Not the same feature as Smart Parents. This page is specifically about Google Classroom guardian email invitations. The separate parent-facing app — where a parent links to their child with a PIN and sees attendance/achievement/behaviour/timetable data — is Smart Parents settings. A school can use either, both, or neither.
What each guardian row shows {#step-1}
- The email address itself.
- Approved for Classroom — a checkbox next to the email. Ticked means this guardian is included the next time you provision to Google; unticked means they're excluded.
- Invited (green badge) — a local record: "we sent an invite" the last time you provisioned to Google. It does not mean the parent has accepted — only that an invitation was sent.
Approve or remove guardians {#step-2}
- Per guardian — click its checkbox to approve or remove that one email, instantly.
- Per learner (bulk) — tick one or more learners on the left, then Approve for Classroom or Remove from Classroom to set every guardian for those learners at once.
Find who's outstanding {#step-3}
Use the status filter above the list to narrow to:
- Needs approval — guardians not yet approved.
- Approved, not invited — approved but no invite has been sent yet (run Provision to Google Classroom to send it).
- Invited — an invite has already been sent.
The summary line above the filter (learners · guardian emails · approved · invited) always reflects the whole school, regardless of the filter or which page you're on.
Check Classroom status — the real, live answer {#step-4}
The Invited badge only tells you a message was sent — not whether the parent has actually accepted it. Click Check Classroom status to queue a read-only check against Google Classroom itself. Once it finishes, each guardian shows the REAL current state next to their local flag:
- Parent accepted — the parent has accepted the Classroom guardian invitation.
- Invited — awaiting parent — Classroom has a pending invitation they haven't accepted yet.
- Not in Classroom — Classroom has no record of this guardian at all.
- Couldn't check — the check couldn't read this guardian (shown in the check's summary too).

The check's summary and how long ago it ran are shown above the button. If the school doesn't have Google Classroom / parent import configured, or the check isn't available in your environment yet, the button still queues but no live states appear — everything else on the page keeps working from the local data.
The two provisioning actions {#step-5}
- Import guardians pulls the latest guardian contact data from your MIS (Wonde).
- Provision to Google Classroom sends invitations for every currently-approved guardian.
Both are rate-limited to once an hour per school; the button shows when it'll next be available.
