Choose who sees each app on your school's panel

Select Apps in the sidebar (under Platforms), then the All apps tab. (Apps opens on the tab you used last.) The Visible to column has one toggle per account type, then a star:

  • A — Admins
  • M — Staff
  • L — Learners
  • G — Governors
  • Ob — Observers
  • Of — Ofsted
  • ★ — Starred (shown first: in the starred row at the top of the panel's apps menu and as icons in the panel bar, and on the new Launchpad it's what people start with pinned until they arrange their own)

A filled toggle means that account type sees the app. Select a toggle to switch it on or off. The change saves straight away and the page says Visibility updated. Any admin can change these, including reduced admins. In the MAT overview, Apps asks you to pick a school first.

Governors, observers and Ofsted follow staff until you change them

Before these toggles existed, governors, observers and Ofsted accounts saw every app that was on for staff. That is still true until you change it, so nobody's panel changed when the toggles arrived.

While G, Ob or Of follows staff, switching M switches it too. Hover over the toggle to check: it says same as staff until changed. Once you select G, Ob or Of yourself, it keeps its own setting and M no longer moves it.

For example, to show an app to governors but not to staff, switch M off and G on.

Things to know

  • To switch every Google Workspace or Microsoft 365 app at once, use the App suites card at the top of the page. See Turn Google Workspace or Microsoft 365 apps on or off.
  • Admins see every app that is on for anyone, whatever A is set to.
  • An app switched off for everyone isn't on anyone's panel. That includes a new app you add yourself, which starts switched off for every account type. See Add and manage your school's own apps.
  • An app that is Hidden (not published) isn't on anyone's panel either, whatever its toggles say.
  • Panels update within about 10 minutes. The panel keeps a short copy of each person's apps.
  • The star only moves an app between the two rows of the panel (starred, and the rest), and sets which apps start pinned on the new Launchpad (see Let people arrange their own Launchpad). It doesn't change who sees it. The order inside each row is set under Order the apps on your school's panel.
  • On the Beacon tile, M also lets all staff raise support requests in Beacon (hover shows Let all staff raise support requests in Beacon (trust-wide)). Only your trust admin (or, in a school that isn't in a trust, your school's admin) can change it; anyone else sees Only your trust admin can open Beacon to all staff. Governors, observers and Ofsted accounts can't sign in to Beacon, so switch G, Ob and Of off there if you don't want them to see the tile.
  • In a trust, your trust may set these toggles for you from MAT overview → App defaults. A shared app that matches your trust shows Trust default under its toggles, and Overridden when you've changed it.

Troubleshooting

  • "Staff requests are on, but no Beacon mailbox is open to them yet — set that in Beacon under Settings → Mailboxes." The Beacon switch worked, but no support desk has been opened to staff in Beacon yet, so staff would see the tile but have nowhere to send a request. Open one in Beacon.
  • "All staff can now raise requests in Beacon. The tile can take a few minutes to appear." or "Beacon is back to the support team only. The tile can take a few minutes to disappear." These confirm the M change on the Beacon tile.
  • An app isn't on someone's panel. Check that the app is Published (not Hidden), that the toggle for their account type is on, and wait up to 10 minutes. See Add and manage your school's own apps.
