Turn Google Workspace or Microsoft 365 apps on or off

Select Apps in the sidebar (under Platforms), then the All apps tab. The App suites card at the top has one switch for each suite:

  • Google Workspace: Mail (Gmail), Drive, Calendar, Classroom, Docs, Sheets, Slides, Keep, Sites (both versions), Chat and Meet.
  • Microsoft 365: Outlook, Teams, OneDrive, Word, Excel, PowerPoint, OneNote, SharePoint, Forms and Microsoft 365.

Each switch changes Launchpad and the panel on your school's sites together. You need to be an admin (reduced admins can use it too). In the MAT overview there is no card: Apps asks you to pick a school first.

Turn a suite on

Select the switch next to the suite. A confirmation (Turn on Google Workspace?) lists what will show, then select Turn on. Every app in the suite is shown to admins, staff and learners. Governors, observers and Ofsted accounts see the same as staff. The page then says the suite is on for everyone and that panels update within about 10 minutes.

The main apps in each suite are starred, so they sit in the starred row at the top of the panel. For Microsoft 365 those are Outlook, Teams, OneDrive, Word, Excel and PowerPoint.

Turn a suite off

Select the switch again. The confirmation (Turn off Google Workspace?) says every app in the suite is hidden from everyone. Select Turn off. Your school's own tiles aren't affected, even ones that link to Google or Microsoft.

Turn the suite back on at any time: its apps come back in the same places on the panel, with the same stars.

Show some apps, not all

The switch gets the whole suite on or off in one go. To hide a single app, or show it to staff only, use that app's Visible to toggles in the list under the card. See Choose who sees each app.

When only some of a suite's apps are on, the card says so, for example 6 of 12 apps showing. The switch then reads as on, so selecting it turns the whole suite off. To turn the rest on, select Show all (for example Show all 12) and confirm. Apps you had hidden from some account types are then shown to all of them. Show all isn't offered for a suite that doesn't match your school's sync (see below).

Which suite matches your school

Matches your sync appears next to the suite your school syncs its accounts to. If a suite is on but your school's accounts are with the other one, the card says, for example, Your school syncs accounts to Microsoft 365, not Google Workspace, so most people won't have Google accounts to sign in with. Those tiles take people to a sign-in page they have no school account for. Turn that suite off unless your school really uses both.

Things to know

  • Panels update within about 10 minutes. The panel keeps a short copy of each person's apps.
  • Each switch is recorded in the audit trail (for example Turned on Google Workspace (12 apps) on Launchpad and the panel).
  • A suite is the Realsmart apps that link to Google or Microsoft. Apps your school added itself are never part of a suite. See Add and manage your school's own apps.
  • A suite only counts the Realsmart apps that are currently published, and the card only appears for a suite that has some.
  • In a trust, your trust admin can turn a suite on or off at every school at once, or school by school, from MAT overview → App defaults. See App defaults.

Troubleshooting

  • Somebody still can't see an app after I turned the suite on. Wait up to 10 minutes, then ask them to reload. Check the app's Visible to toggles for their account type. People can also hide apps from their own Launchpad: staff always can, and learners can when Let learners hide school apps is on. See Let people arrange their own Launchpad.
  • The suite's apps appear but people can't sign in. Check Matches your sync: the school may sync to the other platform. See Which suite matches your school.
