Provisioning runs, the sync queue and the schedule

Three pages under Sync status show the provisioning service at work: Provisioning runs (what has run), Queue (what is waiting or running now) and Schedule (when each main task runs next). They need the View sync status permission, which every admin has, including admins on reduced access. For whether the last sync actually worked, start from Sync status.

Steps

Step 1: See provisioning runs

For a higher-level view, open Provisioning runs (the button in the top-right of the Sync status page, or Run history next to the status header). Where the activity log lists individual events, this page groups them into runs — one execution of a scheduled command or an admin-triggered sync:

  • In progress — runs happening right now. This panel refreshes automatically, so after you trigger a manual sync you can watch it run here. Use Pause live (and Resume live) to stop the auto-refresh.
  • Last run per command — the most recent run of each command, with its status, how long it took, and what it changed (e.g. "5 updated · 1 error").
  • Recent runs — a feed of completed runs, filterable by Command and by Status (Success / Failed / Skipped). The Detail column shows the error or the reason a run was skipped. A dropdown in the top-right sets the time window.

The Command column uses the engine's own names — fetch:school is the MIS import, GoogleSchoolProvisioning the whole-school Google sync, DispatchMembershipSlicesJob and GroupMembershipSliceJob the group-membership part of it, ProvisionGoogleClassroomBySchool and classroom:provision Classroom, CalendarSchoolSync calendar timetables, and MemberAdhoc / GroupAdhoc the changes you queue from ADAdmin. Microsoft Entra runs aren't listed here; Entra activity is in the Logs page (Source: Microsoft Entra — see Search and filter the Logs page) and on the Entra status page.

Why a run was Skipped

"Skipped" is normal. The Detail column says why:

Detail What it means
provisioning-frozen or Outside provision date window The school is between its final provision date and its resume date, so nothing was imported or sent. See Cloud sync is paused.
mis-preview MIS sync is set to Preview, so the fetch ran but imported nothing. See MIS sync preview.
csv-unchanged Your MIS data (and your sync settings) hadn't changed since the last import, so there was nothing to do.
google-sync-off or google sync not live Google sync is switched off, or in Preview, for this school.
google-admin-account-unusable The Google admin account Realsmart uses for your school is suspended, deleted or no longer an admin, so the run stopped before changing anything. Fix the account in the Google Admin console.
calendar-sync-disabled Calendar timetables aren't switched on for this school.
rate-limited (429); released for …s A calendar timetable run: Google asked Realsmart to slow down, so the run waits and goes again.

Step 2: See the live queue

Open Queue (under Sync status; the page is titled Sync queue) to see the sync work queue in real time — the jobs the provisioning service has waiting or in-flight, rather than the runs that have already finished:

  • Running now — jobs a worker is processing this moment (auto-refreshing; use Pause live to stop).
  • Queued — jobs enqueued and waiting their turn.
  • Recently completed — jobs that finished or failed in the last 24 hours, newest first, with how long they took.

The Finished and Failed counts at the top also cover the last 24 hours; Running and Queued always show every job that is waiting or in progress, however long it has been there. A By integration summary shows how many Google, Microsoft, Apple, Active Directory and MIS jobs are running or queued. In MAT Overview the Queue is trust-wide (all your schools, plus shared infrastructure jobs shown as Trust-wide); per school it shows only that school's jobs.

Step 3: See when things run

Open Schedule (under Sync status; the page is titled Sync schedule) to see when the main sync tasks run, and when each is next due. It lists six tasks — Fetch school data (the MIS import, once per run time), Process pending suspended users (the weekday 15:00 leaver check), Process profile pictures, Entra sync, Google sync and Subject sync — with the Integration, a plain-English Schedule (such as "Every day except Saturday at 04:00", UK time) and the Next run. Filter by integration to answer "when does Google next sync?" without asking an engineer. The line above the table says how long ago the provisioning service published the list, so it always matches what actually runs. It's the same for every school, and it doesn't include everything — Classroom (22:00), calendar timetables, Classroom reporting, the purge and the Apple export aren't listed; see How syncing works for those times.

Troubleshooting

  • "A run says Skipped" — see Why a run was Skipped; the Detail column gives the reason.
  • "No runs yet" — no provisioning runs were recorded for this school in the window. Widen the time window.
  • "Nothing queued" — no jobs are waiting.
  • "No schedule available" — the provisioning service hasn't published its schedule yet (it does so hourly), or the integration filter matches nothing.
  • "My Entra sync isn't on Provisioning runs" — Entra runs aren't listed there. Filter the Logs page to Source: Microsoft Entra, or open the Entra Status page and Entra sync issues.
