Term dates — every school's provisioning window, resume date and Classroom option
Term dates is a single list showing every school's provisioning window, resume date and end-of-term Classroom option side by side. It doesn't hold separate data of its own — it reads and edits the exact same settings as each school's own End of year page, just across every school at once instead of one at a time.
Who can see this {#step-1}
Same gate as Platform apps, Beacon access, Vibe access, SmartLogin SPs and Username policies: it only appears in the sidebar (under Platform) when you're a full-access admin actively working within the Realsmart platform school — not MAT overview, and not any other school. Schools and trusts never see this page or edit their own dates from it; they use their own End of year page instead.
What the three dates mean {#step-2}
- Start of term — the day the provisioning window opens and sync goes active for that school.
- End of term — the day the window closes. From this date the school is frozen: MIS changes stop flowing through to Realsmart, Google and Entra until it resumes.
- Resume date — when the school comes back out of the freeze. It's optional. If a school doesn't have one set, it defaults to 1 September.
The End of term column shows a badge alongside the date: Frozen if that school is currently in the freeze, Active if it isn't. A blank date shows as "Not set".
The resume date is optional {#step-3}
Leave the resume date blank and a school simply resumes on the 1 September default — nothing else needs doing. Set a specific date only when a school needs to come back earlier or later than that. Either way, reaching the resume date rolls the window forward automatically to next year's dates, the same as it does from each school's own End of year page.
What each Classroom end-of-term option does {#step-4}
The Classroom (end of term) column shows what happens to a school's Google Classrooms once its window closes:
- Archive at end of term — Classrooms are archived as soon as the window closes.
- Leave active (never archive) — Classrooms are never archived by this process.
- Archive at the start of next term — archiving is held off until the new term begins.
This is the school-wide default. A group can still override it on its own Classroom tab, and that per-group choice always wins over what's set here. If a school doesn't have Google Classroom enabled at all, the row shows a muted Classroom off note instead of a policy, since the setting has no effect either way.
Editing a school's dates from this list {#step-5}
Choose Edit on any row to open a form seeded with that school's current start of term, end of term, resume date and Classroom option. Change whatever needs changing and save — only the fields you actually changed are updated.
If changing the end-of-term date would bring a currently-frozen school back to active straight away, you're asked to confirm first: that change resumes sync immediately and starts a reconciliation, so it's never applied silently.
Finding a school in the list {#step-6}
Search by name with the box above the table to narrow the list. You can also sort by clicking any of the School, Start of term, End of term or Resume date column headers — click once to sort ascending, again to flip to descending. The list shows up to 100 schools per page, so most trusts see every school without paging.
Notes
Editing a school's dates here changes the same record its own End of year page reads, so the two always agree. Every change is logged and attributed to the admin who made it, the same as an edit made directly on End of year.
